Artist Alley Coordinator
Responsibilities include, but are not limited to:
• Reaching out to possible artists and inviting them to attend and show at the convention.
• Giving artists their contracts and getting them back before the convention dates.
• Collecting donations from each artist that are to be used as contest prizes and volunteer raffle prizes.
• Checking in with artists throughout the day to make sure they have everything they need.
• Create an hourly schedule for artist time slots on hourly tables.
• Be available during artist swap periods to ensure a smooth transition.
• Coordinating with the artists during set up to assist them in getting oriented and situated.
• Coordinating with the artists to assist them with end of the night procedures and requirements.
Convention Operations Coordinator
Responsibilities include, but are not limited to:
• Helping with set-up and tear-down
• Getting signage hung up and making signage/materials as needed.
• Making sure that panel rooms have whatever materials and set up they require.
• Keeping panels on track and running in a smooth and timely manner.
• Making sure the room is well stocked for panelists.
• Tabulating votes from the Cosplay Contest.
Hospitality Coordinator
Responsibilities include, but are not limited to:
• Needs to have a food handling license and handle food responsibly.
• Preparing and setting up the food station in the Officers Club so it is attractive and welcoming to volunteers, panelists and staff.
• Prepping food as needed.
• Keeping fridge, hot water, snacks, etc. well stocked and available.
• Keeping an eye on those entering the food station to verify that they are staff, volunteers, or panelists.
Vendor Coordinator
Responsibilities include, but are not limited to:
• Reaching out to possible vendors (bookstores, comic book stores, toys, tea vendors, jewelers, costume vendors, etc.) and inviting them to attend the convention.
• Giving vendors their contracts and getting them back before the convention dates.
• Setting up and organizing the Dealers Room with assistance.
• Collecting donations from each vendor that are to be used as contest prizes and volunteer raffle prizes.
• Coordinating with the vendors during set up to assist them in getting
oriented and situated.
• Coordinating with the vendors to assist them with end of the night procedures and requirements.
Volunteer Coordinator
Responsibilities include, but are not limited to:
• Responding in a timely fashion to incoming emails from people wanting to volunteer.
• Adding the name and email address of people to the volunteer email list.
• Determining which volunteers are interested in helping pre-con, during con, or both and then making two separate mailing groups (pre-con and con) so we are not spamming people unnecessarily.
• Gathering data on volunteer availability and hours available for during the convention.
• Creating a schedule (based on needs of various departments like Registration, Ops, Vendors, etc.) of time slots and fitting volunteers into said slots before the convention date.
• Getting feedback from the volunteers scheduled before the convention date to ensure they know when and where they need to be during the convention.
• Handling volunteer offers and walk-ups during the convention.
• Getting volunteers when the need arises for them during the convention.
